Group Specific Document Access

User Groups can be granted Access Rights to specific documents. Admin users, with permissions, can manage specific document access for User Groups from the Group Administration area.


Add Group Specific Document Access

To add Specific Document Access for a User Group:

  1. Select Admin from the Menu Bar 

  2. Select Group Administration (link) from the Admin Menu

  3. Select the Group you'd like to edit. You can search alphabetically from the top of the screen as well

  4. Select the Add Group Specific Document Access button

  5. The main DynaFile interface will appear and a ribbon will be added to top of the Search Results Area

  6. Assign Specific Document Access for the User Group by selecting the checkboxes next to the documents that users in the group should have permission to access

    You can select multiple documents at the same time. You can also select an entire folder by checking the box at the top of the column.
  7. Select the Update Document Access button in the ribbon at the top of the Search Results Area. A confirmation in green text will appear in the ribbon

  8. Repeat steps 7 and 8 until finished. Then select the Exit Access Assignment button in the ribbon at the top of the Search Results Area

  9. The User Group's Specific Document Access settings have been saved


View / Remove Group Specific Document Access

From the Group Administration area, admin users, with permissions, can view and remove Specific Document Access for other User Groups.

To view and remove Specific Document Access for a User Group:

  1. Select Admin from the Menu Bar

  2. Select Group Administration from the Admin Menu

  3. Select the Group you would like to edit. You can search alphabetically from the top of the screen as well

  4. Select the View / Remove Group Specific Document Access button 

  5. The main DynaFile interface will appear and a ribbon will be added to top of the Search Results Area 

  6. Assign Specific Document Access for the User Group by selecting the checkboxes next to the documents that users in the group should have permission to access.

    You can select multiple documents at the same time. You can also select an entire folder by checking the box at the top of the column.
  7. Select the Update Document Access button in the ribbon at the top of the Search Results Area. A confirmation in green text will appear in the ribbon.

  9. The User Group's Specific Document Access settings have been saved


Structured Index Access

Admins, with permissions, can manage access for Structured Index Fields (SIF) as well as for specific Structured Index Values (SIV). Access permissions can be applied on an individual-level as well as a group-level.
