User Access Rights

You can allow or restrict users from view and modifying documents with Access Rights. Admin users, with permissions, can set and manage access rights for other users.

To modify Access Rights for a User:

  1. Select Admin from the Menu Bar

  2. Select User Administration from the Admin Menu

  3. Select the User account which you would like to modify. Use the Search box at the top of the screen to find them more quickly

  4. Select the Access Rights tab

  5. Assign Access Rights by selecting the checkbox next to each User Right or Document Action that you would like the user to have

  6. Select the Update button

  7. The user's Access Rights have been saved

File Upload

Upload and register new files into the repository

Only users that need to add documents should have this right

Barcode Generation

Generate barcodes to scan paper files into the system

Only users that need to add documents should have this right

Process Scan Batches

Process paper files scanned in batches (without barcodes)

Only users that need to add documents should have this right

Access Drop Box

Upload and view files stored in each office's drop box

Only users that need to add documents should have this right

Assign Document Access

Assign document specific access to documents

This right allows users to provide read-only access of documents to external individuals

Access Web Services

Access administrative web services

This should not be used unless directed by DynaFile support

View User Level Reports

View user level reports (under Tools > Reports)

Only users that need to add documents should have this right

View Admin Level Reports

View administrative level reports (under Admin > Reports)

Only the central administrators of the system should have this right

User Administration

Access to add/modify/delete users in the system

Only the central administrators of the system should have this right

File Administration

Have raw access the file repository (without security checks)

No one, other than the highest level IT administrator should have this right

View (and save) any documents they have access to in the system

All users should have this right unless View Protected Documents Only is selected

View & Add Comments

View and add comments for any document

Should only be granted to internal employees in most cases

Email Document

Email any document from the system (either as an attachment or a link)

Should only be granted to internal employees in most cases

Fax Document

Fax any document from the system

Should only be granted to internal employees in most cases

Can View User Listing

View other users in the system as an auto-complete field when emailing

Should only be granted to internal employees in most cases

Can Create Public Link

Create a public link accessible by an external individual without them logging in

Should only be granted to internal employees in most cases

Save to Office Location

Save files to a local CD burner (if enabled for your system)

This action is not applicable to most client and should not be used unless directed by DynaFile support

View Protected Documents Only

Have restricted view of documents that are watermarked or otherwise protected

If available and activated, this action superceeds any of the above actions
